Is Wave Accounting really free?

Yes—Wave Starter is a real free accounting and invoicing plan, but it is free because the owner supplies more labor. Starter supports unlimited bookkeeping records, estimates, invoices, and bills, customer and cash-flow views, core reports, branded invoices, mobile invoicing, and optional payment acceptance.

The important omissions are operational rather than cosmetic:

  • no automatic bank transaction imports;
  • no automatic transaction merge and categorization;
  • no included receipt OCR;
  • no admin, editor, or viewer collaborators;
  • no recurring invoice automation or automatic late reminders unless enabled through online payments;
  • no invoice attachments, reusable message templates, or Wave-footer removal;
  • no general third-party integration access;
  • live chat and email support require a paid add-on.

Starter works when transactions are few, the owner controls the books, and monthly manual entry is acceptable. It becomes false economy when missed receipts, delayed reconciliation, or invoice chasing costs more than $19 a month.

What does Wave Pro add?

Wave Pro primarily buys automation, collaboration, and support—not a fundamentally different accounting ledger. The core double-entry bookkeeping and reports already exist in Starter. Pro removes the repetitive friction around them.

Bank connections and reconciliation

Pro includes unlimited bank and credit-card connections through Plaid, automatic transaction imports, and automatic merge and categorization. Wave warns that not every financial institution is supported and connectivity cannot be guaranteed.

Automatic categorization is bookkeeping automation, not autonomous accounting. Owners should still review transfers, owner draws, split transactions, loan payments, refunds, and unusual tax entries before closing a month. Wave’s current public pages emphasize OCR and rules-based automation; they do not justify describing Wave as a generative-AI accountant.

Invoicing, estimates, and recurring billing

Both plans create unlimited invoices and estimates and support mobile invoicing. Pro adds recurring invoices, automatic card payments for repeat customers, deposit requests, late-payment reminders, saved message templates, attachments, and removal of Wave branding. Some Starter invoicing automation becomes available when online payments are enabled, but payment approval and processing fees then apply.

Receipts, bills, and mobile work

Pro includes unlimited receipt scans using optical character recognition. Receipts can be uploaded from mobile, desktop, or a dedicated forwarding email, including bulk uploads of up to 10 files. OCR extracts data and creates bookkeeping records; it still requires human review when a receipt is faint, split, personal, or tax-sensitive.

Starter and Pro both support unlimited bill records. Pro is not a full procurement or approval platform; businesses needing purchase orders, multi-step approvals, inventory costing, or deeper accounts-payable controls should compare QuickBooks Online or Xero.

The mobile app supports invoices and estimates on both plans. Receipt subscribers and Pro users also get receipt capture and accounting-transaction management on mobile. Desktop remains the safer place for full reconciliation and reporting work.

Users, roles, accountant access, reports, and exports

Starter is effectively single-user for ordinary business collaboration, though Wave lists free access for limited roles such as payroll manager or Block Advisors tax professional. Pro provides unlimited user access and the admin, editor, and viewer roles used for partners, staff, bookkeepers, and accountants.

Wave provides core reports including profit and loss, balance sheet, and cash flow, plus dashboard views. These suit straightforward small-business books. Reporting is lighter than QuickBooks or Xero for department, location, project, inventory, budgeting, and custom management analysis.

Data ownership matters at any price. Before committing, export the reports and transaction data your accountant or replacement system would need, then confirm the file structure—not merely that an export button exists. Wave supports downloadable reports and accounting-data exports, but migration often requires cleanup and mapping rather than a perfect one-click transfer.

Support and integrations

Pro and the Receipts subscription include live-person chat and email support Monday through Friday, 9:00 a.m. to 4:45 p.m. Eastern. Starter users get that access with an optional paid add-on; otherwise self-service help is the practical baseline.

Pro also exposes third-party integrations. Wave’s ecosystem is much smaller than QuickBooks Online’s or Xero’s, so verify the exact connection, fields, sync direction, retry behavior, and historical-import limits before buying around an integration.

How much do Wave Payments cost?

Wave Payments has no required monthly fee, but processing charges can dwarf the accounting subscription. Approval is subject to identity verification, credit review, eligibility, and ongoing risk review.

Discover processing is US-only. Wave says standard card payouts are generally 1–2 business days and bank-payment payouts 1–7 business days, but cutoff times, third parties, and risk reviews can delay them.

The Pro card discount saves at most $6 per month on the first 10 non-Amex transactions. That alone does not fund a $19 monthly subscription. Pro earns its keep through combined bank, receipt, invoicing, user, and support workflows.

What does Wave Payroll cost?

Wave Payroll costs $40 per month plus $6 per active employee and $6 per independent contractor paid during the month in all 50 US states. Wave says the price applies to new payroll customers who joined after April 2, 2025.

The service includes direct deposit, employee self-service, W-2 and 1099 support, payroll journal entries, and automatic federal and state tax payments and filings, with a stated caveat that automatic transfers may rarely be unavailable. Payroll live-chat support receives priority Monday through Friday.

The annual Receipts subscription costs $72. It is rational when OCR and mobile transaction entry are the only missing workflows. Pro costs $118 more annually and adds automatic bank imports, transaction matching/categorization, invoicing automation, collaboration, and integrations. For an active contractor, Pro is usually the cleaner system.

Two-to-five-person service team: $190 per year, plus optional payroll

Pro does not charge per user and supports admin, editor, and viewer roles, so a small team can collaborate for $190 annually per business. If five employees are on Wave Payroll, payroll adds $840 annually, bringing the software subtotal to $1,030 before tax and payment fees.

Payment-heavy business: subscription plus roughly 3% of card volume

A business collecting 100 monthly Visa/Mastercard/Discover invoices averaging $200 processes $20,000 per month. Starter fees are about $640 monthly: 2.9% of volume plus 100 fixed fees. Pro removes the fixed fee from 10 transactions, saving $6, so processing is about $634 plus the subscription. At this volume, negotiate and compare merchant pricing; Wave Pro is not a meaningful processing discount.

Payroll user: $742 to $1,030 per year in common small-team cases

One employee plus annual Pro costs $742 per year ($552 payroll + $190 Pro). Five employees plus Pro cost $1,030. Choose Starter for a side business, new freelancer, landlord, or low-volume consultant who wants free double-entry bookkeeping and invoicing. Skip Starter if bank automation, receipts, collaboration, or recurring collections are central.

Choose Mobile Receipts for a receipt-heavy solo operator who is otherwise comfortable with Starter. Skip it if you also need bank feeds or invoicing automation; annual Pro costs only $118 more.

Choose Pro for an active freelancer, contractor, or very small service company that wants a low-cost financial hub with sensible automation and unlimited collaborators. Wave is not a cheap version of every accounting platform. It is a focused system for small owner-led businesses. That narrowness is either the product’s best feature or the reason to skip it.

Migration and cancellation considerations

Wave subscriptions can be cancelled at any time, with cancellation effective at the end of the current billing period. Subscriptions auto-renew. When a Receipts subscription ends, previously scanned receipts remain in the books, but new scanning and paid mobile transaction features stop.

Before moving into or out of Wave:

  1. Reconcile every bank and card account through a fixed cutoff date.
  2. Export the chart of accounts, customers, vendors, transactions, invoices, bills, trial balance, general ledger, balance sheet, and profit and loss.
  3. Save receipt and invoice attachments separately where needed.
  4. Map taxes, account types, opening balances, unpaid invoices, unpaid bills, loans, owner equity, and payroll liabilities.
  5. Run the old and new systems in parallel for one complete close.
  6. Have an accountant verify retained earnings and opening balances before abandoning the old file.

Wave Advisors has separate terms. Its public page advertises bookkeeping from $149 monthly when billed annually, while the legal fee schedule can vary by transaction volume and service order. Bookkeeping cancellation requires email notice and has specific refund rules; review the order and current terms before paying annually.

Final verdict: Starter or Pro?

Starter is the right answer for a genuinely simple solo business; Pro is the better value for almost any active business that wants Wave to reduce work rather than merely store records. At $190 a year, Pro is still cheap compared with most accounting platforms. Standalone Receipts makes sense only when OCR is the one missing capability.

Do not call Wave “free” without counting payment fees, payroll, multi-business billing, and manual labor. Do not call its OCR and categorization “AI accounting” without qualification. Wave’s appeal is less dramatic and more useful: low-cost bookkeeping, invoicing, and practical automation for businesses small enough to benefit from simplicity.
