Choose Zapier if your small business wants managed-cloud automation, broad app coverage and less infrastructure work. Choose Activepieces if its exact connectors fit your stack and you value full-flow credit pricing, custom integrations or the option to self-host. Activepieces Cloud also suits buyers who want its billing model without running servers. Self-hosting is a separate operating decision, not a requirement for using Activepieces.
The price comparison needs care. Activepieces Plus lists $16/month billed yearly with 10,000 monthly credits; Zapier Professional starts at US$19.99/month on annual billing, with the price changing by task tier. One ordinary Activepieces flow run uses one credit, while Zapier generally charges for successful app actions. AI changes both calculations, and Zapier Agents has a separate activity allowance.
Our recommendation: shortlist by connector coverage and ownership first, then price the same workload in each tool. Do not migrate a working system for a cheaper headline subscription alone.

Avoid Activepieces if losing a critical connector would force a custom integration you cannot maintain. Avoid Zapier if self-hosting is mandatory, or if the modeled task bill outweighs its reduced infrastructure burden. Activepieces pricing advertises 760+ integrations; Zapier pricing advertises 9,000+ apps. These are vendor catalog counts, not independently counted or tested integration-depth scores.
Compare the current plans, not old pricing summaries
Activepieces sells plan features plus credits; Zapier sells a plan level plus a task tier. “Unlimited flows” or “unlimited Zaps” describes how many automations you can create, not unlimited execution.

The current pricing matrix and FAQ say Free through Ultimate can run in cloud or on-premises at the same plan price. Paid self-hosting does not waive subscription or usage charges. Community Edition is a different entitlement, not “Ultimate with your own server.” The repository license places the core under MIT, with explicitly excluded enterprise directories under a separate license.
Resolve the apparent marketing conflict this way: the product page says agents work on cloud and your own instance; the pricing FAQ distinguishes Community Edition's core from the licensed layer. Do not infer that reusable Agents and Chat or all governance features are included in Community Edition. Conversely, the current Free platform card explicitly includes Agents, so “all agents require a paid subscription” is also too broad.

Normalize credits, tasks and activities before comparing cost
Normalize the business workload—not the billing unit. One Activepieces credit does not convert to one Zapier task or one Agents activity. Count actual runs, successful actions, AI steps, tool calls and retries separately.
Activepieces credits
The official pricing FAQ defines an ordinary full flow run as one credit regardless of ordinary step count. AI sits on top:
- Fast-model AI step: 2 additional credits.
- Smart-model AI step: 10 additional credits.
- Frontier-model AI step: 20 additional credits.
- Agentic action: 1 additional credit each.
- BYOK on Plus and above: each AI step becomes 1 Activepieces credit, plus your model-provider bill.
For a modeled flow, budget base runs + applicable AI-step charges + agentic actions. Do not assume an agent performs only one model step: its tool and reasoning path can vary. Measure the resulting usage during your trial.
Free refreshes daily, not as a bankable monthly pool. Runs beyond that day's quota do not proceed until credits refresh. Plus and Team continue into $0.007/credit overage—$7 per additional 1,000 credits. The captured FAQ does not establish a configurable hard spending cap or fully specify failed-run/retry accounting; confirm those behaviors before unattended production.
Zapier tasks and special rates
Zapier's task-accounting documentation says triggers never use tasks, and unsuccessful or halted actions do not count. Ordinary successful connector actions generally use one task each. Successful actions replayed again can count again.
The current rate card lists Formatter, Paths, Filters, Delay, Looping, Sub-Zaps, Digests, Zapier Manager, Storage, Tables and Forms at zero tasks. Actions performed inside loops or subflows still need their own accounting. The general help page retains contradictory Sub-Zap wrapper examples; budget wrappers at zero using the specific current rate card and verify your history before migration. Also disregard the rate card's loose “trigger and action” wording where it conflicts with the explicit no-charge trigger rule.

Included Code runtime is one second on Free, 30 seconds on Professional/Team, and two minutes on Enterprise; extended runtime requires an eligible paid plan and per-step enablement. The SDK is currently free in beta: do not treat that temporary rate as a permanent savings guarantee.
The current AI model-tier documentation says new paid AI steps default to Premium, superseding the June announcement's Advanced default. Check the selected tier. At 75 tasks in a single AI step, Zapier pauses for approval to continue; this is a usage safeguard, not approval of the business decision. Ordinary AI-step BYOK is also distinct from Enterprise's governed “Bring Your Own Model” Bedrock control.
Pay-per-task billing is available on paid plans and enabled by default for accounts created after January 2024. The rate depends on plan and billing cycle; read your billing settings rather than applying a universal surcharge. The normal maximum is three times the included allowance in total, including base tasks. A 750-task plan can therefore reach 2,250 total tasks, not 3,000. With overage disabled, new runs are held at the included limit.
Zapier Agents activities
Agents uses its own activity quota, separate from Zap tasks. Activities include triggers, actions, knowledge lookups, browsing/scraping, web searches and Chrome-extension messages. A completed business job can consume several activities.
Agents Free allows 10 activities per individual run; Pro and Enterprise allow 40 before requesting input to continue. Free tests consume the monthly quota; paid tests do not. When monthly activities run out, agents cannot keep executing new activities merely because the account has spare Zap tasks. Team/Enterprise accounts share an activity pool, but that does not itself grant permission to share agents.
Three workload examples show where the bill changes
A longer deterministic flow can favor Activepieces' meter; an AI-heavy flow must be priced independently. The following are arithmetic illustrations, not benchmark results. Assume successful runs, no retries, no extra subflows and the stated actions only.

These “smart” and “Advanced” labels do not establish equivalent model quality. Run the same representative tickets through your chosen models before treating the cost rows as substitutes. Dollar totals retain Activepieces' displayed currency and annual-base assumption; they are not a cross-currency savings calculation.
Agentic work adds another variable. An AI by Zapier Premium step using two tools costs 5 + 2 × 5 = 15 tasks, before any later Zap actions. In Zapier Agents, 100 runs with one trigger, one knowledge lookup and two app actions would consume 400 activities, assuming nothing else runs. Neither number can be translated directly into Activepieces credits without tracing its actual AI steps and agentic actions.
Choose cloud or self-hosting by who can operate it
Use cloud unless control over deployment is valuable enough to justify an operating owner. Activepieces Cloud removes the server-management requirement; self-hosted Activepieces transfers it to you or a contracted provider. Zapier runs its automation platform as a managed service.
Activepieces installation documentation recommends Docker Compose with PostgreSQL and Redis, with Helm for teams already operating Kubernetes. It warns that external one-click templates can lag and install Community Edition. A quick install is not proof of production readiness.
The production setup describes app and worker tiers, managed Postgres/Redis and same-region S3 object storage. Capacity planning depends on concurrent flows and database load, not just monthly execution count. Budget backups and restore drills, TLS, monitoring, upgrades, storage, outbound traffic and the person handling incidents.

For an illustrative internal budget—not a hosting quote—$40/month infrastructure plus three operator hours at $75/hour already totals $265/month before paid licensing, AI and implementation. Replace every assumption with your own costs. Self-hosting can still be the right choice for network access, data-location requirements or extensibility; “free software” alone is not a business case.
Activepieces' current FAQ describes EU cloud hosting in Frankfurt, other regions on request, and a SOC 2 program in progress, not completed certification. Self-hosting also does not keep everything local if your flows call external SaaS or model APIs. Verify data paths, retention and contractual requirements for either platform.
AI agents: flexibility needs deterministic boundaries
Use fixed rules for known procedures and agents for bounded interpretation. Deterministic does not mean “no branching”: explicit if/then branches are deterministic. Neither vendor's AI drafting assistant guarantees a correct production workflow.
The September 2026 Activepieces changelog describes reusable, named agents that can be drafted from a sentence, chatted with and edited. Publishing an agent update changes dependent flows on their next run without republishing each flow. That reduces duplication but expands the impact of a bad edit: inventory dependents before publishing.
Activepieces agents can use app actions, flows, external MCP servers and supplied knowledge. Its agent product page documents locked inputs, human approvals without an approver seat/account, pauses retained for 30 days and logged tool calls. It also states no memory between runs and no live SharePoint/Drive/Notion knowledge sync; do not assume a reusable agent automatically has persistent business memory or continuously fresh documents.
MCP tool discovery follows discover → inspect schema → execute or build a flow. Cloud enables tool search; self-hosting requires enablement, and semantic search needs an OpenAI embedding provider and pgvector, with keyword fallback. This is discovery support, not proof that an action is safe or sufficient. Inspect scopes and pin important inputs.
Zapier offers AI by Zapier inside workflows, MCP access from AI clients, and the separately billed Agents product. Choose the surface deliberately: a classification step in a fixed Zap is different from letting an agent decide which tools to call. For ticket triage, ask for structured category and urgency fields, validate them against allowed values, and route uncertain cases to a person. For refunds, customer messages or accounting changes, put business authorization before the write; a billing-limit pause is not that control.
Governance and sharing change the plan you need
Buy the lowest edition that satisfies access, change-management and audit requirements—not merely headcount. Five users may fit Activepieces Plus, but SSO and standard roles require Team.

These boundaries come from the current pricing matrices. Execution logs used to debug a run are not the same as an administrative audit trail recording who changed access or automation. Ask for retention, export, permissions and contractual availability where they matter.
Activepieces agent management makes the project a connection/data boundary. Moving an agent can change which accounts its tools use, break missing dependencies and remove shares. A published flow still using it blocks the move or deletion. Restricted sharing currently uses the API rather than a restriction screen, and recipients must already belong to the project.
For Zapier, Agents organization sharing requires Agents Enterprise under the current usage matrix. The main pricing page's Agents Enterprise card advertises restricted-app support while an older FAQ says Agents does not support Enterprise restrictions. Do not assume platform restrictions automatically cover Agents: require written confirmation for your Agents Enterprise configuration and test it before granting production connections.
Support also changes the economics. Activepieces Free/Plus use community human support; Team adds email and Ultimate dedicated support. Zapier Professional includes email; live chat starts at the 2,000-task tier. Team adds priority support; Enterprise adds screen sharing, with a technical account manager dependent on threshold or add-on. None of those labels establishes a response-time SLA by itself.
Prove the exact connectors before you buy
A connector logo is a lead, not an acceptance test. Activepieces' pricing FAQ points to HTTP, webhooks and custom TypeScript pieces when an integration is missing. Those escape routes still require API access, authentication, pagination, retries and maintenance; “has an API” does not mean “works instantly.”
Use the same proof-of-concept checklist in both products:
- Trigger: confirm the exact event, polling versus webhook delivery, latency and duplicate-event behavior. Zapier's published polling intervals are 15 minutes Free, two minutes Professional and one minute Team/Enterprise; instant triggers depend on the app.
- Action depth: prove create, search and update semantics; custom fields, attachments, line items, pagination and time-zone handling.
- Authentication: check scopes, service-account feasibility, OAuth refresh and ownership after an employee leaves.
- Failure behavior: simulate throttling, expired credentials, malformed inputs, duplicate delivery and partial completion. Confirm alerts and safe retries.
- Usage: inspect the recorded billable units, including successful replays, AI tools, code runtime and separate Agents activities.
- Governance: test who can edit, publish, view logs, use credentials and approve sensitive writes in the actual edition.
Pass only when the output record is correct, repeat delivery cannot duplicate the business transaction, a failure reaches a named owner and the owner can recover it. Migrate in stages and decide who owns failures
Treat migration as rebuilding and reconciling business behavior, not copying a diagram. Do not assume a Zap export becomes an equivalent Activepieces flow or that credentials, history and agent memory transfer.
Start with an inventory: triggers, field mappings, filters, schedules, time zones, secrets references, usage, business owners and downstream side effects. Rebuild one low-risk workflow against test accounts. Run it in shadow mode without duplicate customer-facing writes, reconcile expected records, then cut over that trigger with a rollback plan. Keep the former system available until delayed events and reconciliation are clear; remove old access only after acceptance.
Assign three roles explicitly: the business owner checks outcomes, the automation owner repairs mappings and replays safely, and the platform owner handles availability and recovery. Cloud vendors own their platform service; you still own your configurations and third-party accounts. In self-hosted Activepieces, your operator additionally owns infrastructure incidents. An app API outage can affect either choice, and no comparative uptime benchmark was conducted here.
Hidden costs include parallel subscriptions during migration, premium source-app API access, contractor work, token bills, monitoring, incident time, replay charges and human review of AI outputs. Price those before committing annually. The next step is a representative pilot and a written plan/usage quote—not moving every workflow because the starter plan is cheaper.

Is Activepieces cheaper than Zapier?
It can be for supported, multi-action non-AI flows because one full run uses one credit. The answer changes with AI usage, required governance, connector development and operator costs. Compare equivalent business outputs and billing currencies, not credits against tasks one-to-one.
Can I self-host Zapier?
Not its core automation platform under the plans compared here. Running your own code with Zapier SDK is not hosting Zapier itself. Activepieces offers self-hosting, with Community Edition and licensed platform features kept distinct.
Does Activepieces Free include AI agents?
The current Free platform card includes Agents with a daily credit allowance. Free self-hosted Community Edition is described separately as the automation core; do not infer the same entitlement from the word “free.” BYOK starts at Plus.
Does Zapier Agents use my Zap task allowance?
No. Agents consumes activities separately. AI by Zapier inside a Zap and MCP calls use tasks under their own rates. Spare Zap tasks do not extend an exhausted Agents activity quota.
Can either system run without supervision?
Stable, validated workflows can run unattended with monitoring and recovery ownership. Agents introduce variable reasoning and tool usage. Keep deterministic checks, business approvals and human escalation around important actions rather than assuming the agent will always choose correctly.
