FreshBooks was advertising 90% off for three months on the verification date: US$2.30 Lite, US$4.30 Plus and US$7 Premium; Canadian prices were C$2.60, C$4.20 and C$7.20. Those are acquisition promotions, not defensible annual budgets. Zoho’s regional pages emphasized lower annual-billing rates rather than an equivalent short introductory discount.

Taxes are additional. Payment processing, payroll, advanced payment tools, extra users, extra scans, locations, and implementation help can also change the real total.

Plus adds proposals and retainers; the product’s language and plan design consistently center client relationships and getting paid. In the US, the pricing page listed cards, ACH, Apple Pay, Google Pay and buy-now-pay-later options. The Canadian page listed cards and pre-authorized debits. Availability and transaction fees should be confirmed in the regional checkout.

Zoho Books supports quotes, invoices, recurring invoices, retainers, client portals, payment links and regional payment-gateway integrations. Its advantage appears when an invoice must connect to sales orders, purchase orders, approvals, inventory, vendor bills, or more configurable workflow rules. Payment provider availability varies substantially by country, so a recognizable gateway on a global integration page is not proof that it works in your edition.

Its Free plan includes receipt autoscans, with the pricing pages listing 50 scans per month for Free/trial, 200 for Standard/Professional and 1,000 for Premium and above. Extra document autoscans cost more. The mobile apps can scan receipts, track mileage and handle invoices, expenses, bills and bank matching.

The distinction is workflow shape: FreshBooks starts with the person doing billable work. Zoho Books starts with the accounting record and connects projects to it.

FreshBooks is not designed as a full inventory system. A service business can invoice products or track expenses, but sellers needing stock on hand, reorder points, purchase orders, landed costs, serial numbers, batches or warehouses should choose Zoho Books Professional/Elite or a dedicated commerce stack.

Zoho Books Professional supports inventory, sales and purchase orders, price lists and multi-currency transactions. Elite adds advanced inventory controls such as warehouses, composite items, serial and batch tracking, landed costs and bin locations. Those capabilities are irrelevant overhead for a solo copywriter and extremely relevant for a seller with physical stock.

For tax, the US Zoho edition highlights sales/use tax and 1099 workflows; the Canadian edition highlights GST/HST, provincial returns and T4A/T5018 workflows. Zoho Books offers deeper rules-based automation; neither product should be purchased on the assumption that “AI” replaces bookkeeping judgment.

FreshBooks automates recurring invoices, reminders, late fees, expense imports and receipt/bill data capture. Receipt scanning is OCR-style document extraction. It reduces typing; it is not generative AI and does not make the underlying expense automatically correct.

On the official pages reviewed, the reliable buying case for Zoho was configurable automation and accounting breadth, not an unqualified promise of generative AI. Keep a human approval point for tax coding, reconciliations, vendor payments, period close and material journal entries.

FreshBooks mobile is built around work on the move; Zoho Books mobile carries more of the accounting system.
